Note: For Gmail, you need to use an App Password, not your regular password.

Step 1: First enable 2-Step Verification: Enable 2-Step Verification

Step 2: Then get an App Password: Get an App Password

Gmail Setup Instructions:

Enable 2-Step Verification first - This is required before you can create App Passwords
Create an App Password - A 16-digit passcode that gives this application permission to access your Gmail account
Use the App Password - Enter the 16-digit App Password (not your regular Gmail password) in the password field above

Why App Passwords? Google requires App Passwords for security when using third-party applications with Gmail. This protects your main account password.

Step 2: Email Configuration

PDF Attachments: The system will look for PDF files named "Letter_[SaleID].pdf" in the GL folder and attach them to emails automatically. Create the GL folder if it doesn't exist.

Upload PDF files to GL folder. Use the filename pattern you specified above.

PDF Filename Pattern:

Customize the PDF filename pattern. Use placeholders like {saleid}, {name}, {email}, etc. Example: Invoice_{saleid}_{name}.pdf

Sender Name:

BCC Emails (optional):

Enter multiple BCC email addresses separated by commas. These recipients will receive a copy of every email sent.

CC Emails (optional):

Enter multiple CC email addresses separated by commas. These recipients will receive a copy of every email sent.

CSV File:

Format: Column headers should include 'email', 'name', 'saleid' (for PDF attachment), and any other fields you want to use as placeholders.

Choose a Template:

Email Subject:

You can use placeholders like {name}, {email}, {saleid}, etc. These will be replaced with values from the CSV file.

Random Delay Between Emails (seconds):

Hourly Email Limit:

Default is 19 emails per hour (recommended for Gmail). Only increase if you're sure your email provider allows higher limits.

Use placeholders like {name}, {email}, {saleid}, etc. These will be replaced with values from the CSV file.

Important Email Provider Limits:

Free Gmail accounts have a limit of 500 emails per day
New accounts are limited to approximately 20 emails per hour initially
This tool uses a configurable hourly limit (default: 19 emails per hour)
To avoid triggering spam detection:

Use descriptive subject lines
Avoid excessive links or attachments
Personalize emails when possible
Ensure your recipients have opted in to receive emails
